Accounts Receivable Specialist

Join a dynamic team in Chicago, IL, as an Accounts Receivable Specialist. This role is critical in supporting the accounting department's functions, specifically focusing on improving and streamlining accounts receivable processes. You will play an integral part in ensuring financial accuracy and efficiency within the organization.

Key Responsibilities:

  • Prepare, post, verify, and record customer payments and transactions related to accounts receivable.
  • Perform daily invoicing tasks and submit invoices to customers via email, mail, or customer portals.
  • Release sales orders promptly upon receipt of payments.
  • Maintain and update customer records, including changes in names or addresses, company mergers, and special mailing instructions.
  • Ensure the integrity of access credentials for customer portals and maintain records within the company's ERP systems.
  • Create credit memos and perform credit card reconciliations.
  • Manage the depositing of checks and posting payments to the ERP system.
  • Process ACH payments and credit applications while ensuring compliance with sales tax regulations.
  • Handle Certificates of Insurance requests and maintain necessary documentation for accounts receivable.
  • Assist with filing, retrieving materials, and managing special projects as needed.
  • Proactively request collections and follow up on delinquent accounts, updating and maintaining accurate financial records.
  • Prepare and send statements for overdue accounts while following established guidelines for account reviews.
  • Manage incoming communication, including calls and mail, ensuring accurate allocation to relevant departments.
  • Generate various financial reports on a weekly or monthly basis to support departmental needs.

Preferred Qualifications:

  • Completion of two to four years of undergraduate coursework, an associate’s degree, or a relevant certification.
  • A minimum of one year of experience in a related accounting role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to learn and utilize company-specific software.
