Job Summary:
We are seeking a dynamic and detail-oriented Assistant Project Manager to join our team. This position is particularly suited for active duty military members looking to transition into civilian roles. As an Assistant Project Manager, you will play a crucial role in supporting the Project Manager in overseeing various projects. Your contribution will be essential to ensuring project success by assisting with day-to-day tasks, deliverables, and documentation management.
Key Responsibilities:
- Familiarize yourself with project scope, deliverables, and pricing to effectively coordinate with the Project Manager and project personnel.
- Develop and maintain communication plans for project team members and stakeholders.
- Create commissioning plans for review by the Project Manager to ensure project alignment.
- Assist in developing and organizing project schedules and timelines, collaborating closely with the Project Manager and project team.
- Manage project documentation by populating and organizing folders with all necessary materials from clients, engineers of record, and general contractors.
- Facilitate communication regarding project requirements and travel arrangements for team members.
- Attend project meetings, capturing key discussions, decisions, and action items in comprehensive meeting minutes.
- Support punch list meetings and assist testing engineers with punch list management to ensure all issues are addressed.
- Prepare and review reporting templates for the project team to streamline communication and documentation.
- Monitor project budgets to maintain profitability, assisting in the overall financial health of projects.
- Develop and present project plans in Smartsheet for Project Manager review.
- Oversee project status updates and generate invoices using Ajera accounting software.
Qualifications:
- Experience in project management or a related role, ideally ranging from 0 to 5 years.
- Previous experience in construction or similar fields is strongly preferred.
- General knowledge of mechanical and electrical building systems is beneficial.
- A four-year college degree is required; military experience is a valuable asset.
- Proficient in Microsoft Office applications, with strong math skills for budget calculations.
- Excellent communication skills to understand and convey instructions clearly and effectively.
- Highly organized, proactive, and responsive with a keen attention to detail.
- Demonstrated ability to work independently from home, with 25-50% travel to project sites as necessary.
